Exports: How to Generate Reports, Enrollments, and Compliance Data

The Exports system allows you to generate downloadable reports containing user, enrollment, and completion data. Exports run in the background and are delivered as CSV or PDF files.

Types of Exports

Report Exports

Available from the Admin > Reports section:

  • Team Completions Export — Completion data aggregated by team
  • Group Completions Export — Completion data organized by Thinkific groups
  • Completion Report Export — Detailed, user-level completion records

Each report export includes a date range filter and reflects the current filter settings when exported.

Compliance Exports

Compliance-focused exports for regulatory or audit requirements:

  • All Teams Completion Export — Comprehensive completion data across all teams
  • Includes user identifiers, course names, completion dates, and time-to-complete metrics
  • Suitable for external compliance reporting

Enrollment Exports

  • Enrollment Per Sheet — Enrollment data organized with separate sheets per team or course
  • User Enrollment Export — Individual user enrollment records

Quiz Exports

  • Quiz Results Export — Quiz scores and results data
  • Includes quiz name, user, score, pass/fail status, and attempt count
  • Per-Sheet Quiz Results — Quiz data organized by quiz or user

Certificate Exports

  • Certificate Data Export — Records of issued certificates
  • Includes user name, course, completion date, and certificate identifier

Generating an Export

  1. Navigate to the section containing the data you want to export
  2. Apply any desired filters (date range, team, course, etc.)
  3. Click the Export button
  4. The export process runs in the background

Background Processing

  • Large exports are processed as background jobs to avoid page timeouts
  • You can continue using the dashboard while the export processes
  • A notification is sent when the export is ready

Downloading

  1. When the export is complete, you'll receive a notification
  2. Click the notification or navigate to the Notifications section
  3. Click Download to save the file
  4. Files are available for a limited time before being automatically deleted

Export Formats

CSV Format

Most exports are available as CSV files:

  • Compatible with spreadsheet applications (Excel, Google Sheets, Numbers)
  • UTF-8 encoded for special characters
  • Includes header row with column names
  • Data is formatted for readability

PDF Format

Certain reports are available as PDF:

  • Formatted for printing and distribution
  • Includes report title, date range, and generation timestamp
  • Suitable for sharing with stakeholders

Best Practices

  • Apply filters before exporting to limit data scope
  • Use date range filters for periodic reporting (weekly, monthly, quarterly)
  • Large exports may take several minutes — check notifications for completion
  • Set up recurring exports if you need regular reporting cycles
  • Store exported data according to your data retention policies
