Admin Tools: How to Import Data and Sync with Thinkific
The Tools section provides utilities for importing data, managing teams, and migrating content from external systems into your B2B Dashboard.
Accessing Tools
Navigate to Admin > Tools in the sidebar. The Tools page is organized into four tabs.
Import Tab
The Import tab provides cards for various data import operations:
Import Users from Thinkific
Imports user accounts from your connected Thinkific platform:
- Click the Import Users from Thinkific card
- In the modal, configure:
- Allow Emails — Toggle whether imported users receive notification emails
- Prohibit Emails — Suppress all email notifications during import
- Assign to Team — Select a default team to assign all imported users
- Click Import to start the process
- The import runs in the background — you will be notified when complete
Sync Enrollments
Synchronizes enrollment data between Thinkific and your Dashboard:
- Click the Sync Enrollments card
- Choose the sync direction if applicable
- Confirm to start the synchronization
Import Users from Groups
Imports users based on Thinkific group membership:
- Click the Import Users from Groups card
- Use the pillbox selector to choose one or more groups
- Configure team mapping — select which Dashboard team the users should belong to
- Set role assignment for imported users
- Click Import
Additional Import Cards
- Sync Groups — Synchronize group definitions from Thinkific
- Sync Products — Import product/course definitions from Thinkific
- Sync Certificates — Pull certificate data from Thinkific
- Sync Quiz Results — Import quiz results from Thinkific
- Recalculate Seats — Recalculate seat usage counts across the system
- Upload Group Matching — Upload a CSV file to match and sync groups
CSV Import Tab
The CSV Import tab provides bulk user and team creation via CSV upload.
Preparing Your CSV
Download the template or prepare a CSV file with the following columns:
- User name
- User email
- Team name (optional)
- Additional fields as needed
Importing
- Click Choose File and select your CSV
- Click Validate to check the data for errors
- Review validation results — any errors are highlighted with descriptions
- Fix any issues and re-validate
- Click Import to create the users and teams
The import processes all valid rows and reports any failures.
Teams Tab
The Teams tab provides an overview of all teams in the system with quick management actions.
