How do I create a Seat?

Open your admin panel and click Seats, then Add Seat

In the fly-out menu, add your seat details.

Name - The name of your seat. This will not be visible to your end users. We recommend using a name that you can easily recognise for administrative purposes, e.g., 'Accounting / ACME Corp'

Description - This is helpful for administration and will not be visible to your end users.

Unlimited Seats - When enabled, this seat will have no limit on the number of enrollments it can create.

Max Seats - The maximum number of enrollments that can be created using this seat. Note, this field will not be visible if Unlimited Seats is enabled.

Expiry Type - When an enrollment is created or updated, this controls the expiry date of that enrollment.

  • Days - The number of days from the enrollment date that access will expire, e.g., If you enter 10 days, and a user is enrolled today, the enrollment will expire 10 days from today.
  • Date - Access will expire on the given date regardless of when the enrollment is created. An example of this would be a seat assignment in a high school; the expiry date could be set to the end of the school term, meaning all enrollments expire at the end of the term.
  • Never - The enrollment will never expire. In general, this is not recommended.

Reusable - Expired enrollments are not counted towards the used total when enabled. For example, a seat has 10 seats assigned and 8 of them are in use. However, 5 of those current enrollments expired last week. Therefore, the seat has 10 - 8 + 5 = 7 seats available (As only 3 of those current enrollments have expiry dates in the future). A common use of this parameter is a company that continually educates users for short periods, e.g., employee onboarding. The seat in our example can, therefore, ensure that only a maximum of ten employees can be onboarded at any one time.

Extendable - Extendable seats can update their expiration date to a given date, depending on the expiry type setting. For example, given the following expiry type (See above):

  • Days - The expiry date will be increased by the given days, i.e. If the expiry day is 7, and an enrollment expired 2 days ago, then extending the enrollment will move the expiry date to one week from today.
  • Date - The expiry date will be set to the given date.

Note, to be extended, an enrollment must:

  • Have an expiry date, i.e., Enrollments with no expiration date cannot be extended.
  • If the expiration date is set by date, enrollment must not have expired.

Product - The course or bundle to which the seat will be assigned.

Prerequisites - If you require a user to complete specific courses or bundles before they can be enrolled using this seat, you can enter them here. We recommend keeping this simple, as setting bundles or multiple courses as prerequisites can confuse. Courses are considered complete when they have reached 100%.

Tags - Used for administrative purposes, including for shared and template seats.


Finally, click Save.
